Fleet Admins – Privacy Policy

Fleet Admins (“Fleet Admins”, “we”, “us”, or “our”) provides a cloud-based Software-as-a-Service (“SaaS”) platform that enables customers to independently manage their fleet operations and related data.

1. Platform-Only Role

Fleet Admins provides the technology platform only.

Customers independently enter, upload, create, manage, modify, review and control their own data through the Fleet Admins platform.

Fleet Admins does not operate or manage the customer's trucking or transportation business and does not assume responsibility for the customer's drivers, vehicles, loads, dispatching, financial activities, compliance activities or business decisions.

2. Customer Data

Customers retain ownership and control of the information they upload or enter into Fleet Admins.

Customer Data may include truck, trailer, driver, load, broker, revenue, expense, maintenance, fuel, insurance, compliance and other operational information.

The customer is solely responsible for:

  • Data entered into the platform
  • Accuracy and completeness of data
  • Keeping information current
  • Obtaining required permissions or consents
  • Lawful collection and use of information
  • Managing users and permissions
  • Reviewing reports and calculations
  • Maintaining appropriate independent records

Fleet Admins does not independently verify Customer Data.

3. Fleet Admins Access to Data

Although customers manage their own data, Fleet Admins and its authorised service providers may access Customer Data where reasonably necessary to:

  • Operate the SaaS platform
  • Provide customer support
  • Troubleshoot technical issues
  • Investigate errors
  • Maintain and improve platform functionality
  • Perform system maintenance
  • Maintain backups
  • Recover data
  • Maintain security
  • Prevent fraud or misuse
  • Comply with applicable law

Such access does not transfer ownership or control of Customer Data to Fleet Admins.

4. Customer Responsibility

Customers are responsible for ensuring that their use of Fleet Admins and all Customer Data complies with applicable privacy, employment, transportation, tax, regulatory and other laws.

Fleet Admins is not responsible for inaccurate, incomplete, outdated, unlawful or improperly entered Customer Data.

5. Automated Calculations and Processing

Fleet Admins may provide automated calculations, dashboards, reports, reminders, OCR, document processing or AI-assisted features.

The accuracy of these outputs depends substantially on information supplied by customers or third-party systems.

Customers are responsible for reviewing and validating important information before relying upon it.

6. Data Security

Fleet Admins uses reasonable technical and organisational safeguards designed to protect information processed through the platform.

However, no software, cloud platform, database or internet transmission can be guaranteed to be completely secure or continuously available.

Customers are responsible for securing their account credentials, devices and authorised users.

7. Subscription and Data Access

Access to Fleet Admins is provided only while the customer maintains a valid subscription and pays all applicable subscription charges when due.

Fleet Admins may suspend, restrict or terminate platform access for expired, cancelled, suspended or unpaid subscriptions in accordance with the applicable Terms & Conditions.

Following termination or expiry, Customer Data may be retained or deleted according to Fleet Admins' applicable retention procedures, contractual obligations and legal requirements.

Customers are responsible for exporting any information they require before their subscription terminates.

8. Service Providers

Fleet Admins may use third-party technology providers for cloud hosting, storage, databases, authentication, security, email, payment processing, analytics, OCR, AI and other infrastructure required to operate the platform.

9. Compliance Tools

Compliance reminders, dashboards and similar functions are software tools provided for convenience.

Fleet Admins does not provide legal, accounting, tax, insurance, safety or regulatory advice and does not guarantee that use of the platform will result in regulatory compliance.

10. Privacy Rights

Privacy rights may vary depending upon applicable law.

Where Fleet Admins processes information on behalf of a customer, requests relating to that Customer Data should generally be directed to the relevant customer.
